Terms & Conditions
These terms are an agreement between you and Synoris Information Systems Pvt Ltd, a company incorporated in India (“Synoris”, “we”, “us”), which operates PolicyPulse. By creating a workspace, accepting an invitation or otherwise using PolicyPulse, you agree to them. If you use PolicyPulse for an agency or company, you confirm you may accept these terms on its behalf, and “you” includes that business.
1. The service
PolicyPulse helps insurance agents and distributors organise their customers and the policies they hold with any insurance company, plan follow-ups, and run a team of telecallers. PolicyPulse is an organising and reminder tool. It does not sell, recommend or rank insurance products, does not place calls or send WhatsApp messages on its own, and is not connected to any insurance company's systems.
2. Accounts and teams
- You must be at least 18 and give accurate sign-up details.
- The person who creates a workspace is its owner. Owners can invite team members, set their roles and remove them, and are responsible for what happens in the workspace.
- Keep your password and two-factor codes secret, and tell us at once at privacy@synoris.co.in if you think your account has been misused.
3. Your responsibilities
- You must have a lawful basis, including any consent required, to record and use your customers' and their family members' personal data, and to contact them. Respect their contact preferences and do-not-call requests, and the rules of the regulators and insurers you work with.
- Keep the information you enter accurate. PolicyPulse shows reminders based on the dates and amounts you give it; projected or reported amounts are not confirmations from an insurer. Always check payment status, maturity values and benefits with the insurer before relying on them or telling a customer.
- You are responsible for the advice you give your customers and for your licence obligations.
4. Acceptable use
Do not use PolicyPulse to break the law, to send spam or unsolicited marketing, to store data you have no right to hold, to try to access another workspace or bypass security or limits, to upload malicious code, to overload or disrupt the service, or to copy or resell it.
5. Your data
You own the data you put into PolicyPulse. You give us permission to host, process, back up and display it only so we can provide the service to you. Workspace owners can export customers and policies as CSV at any time. We handle personal data as described in our Privacy Policy.
6. Data processing terms
For the personal data of your customers and their families (“customer data”), you are the data fiduciary / controller and Synoris is your data processor. Synoris will:
- process customer data only to provide PolicyPulse and on your documented instructions, which these terms and your use of the service's features make up;
- make sure people with access to it are bound by confidentiality, and allow Synoris staff to view customer data only to resolve a support or security issue, read-only, with a second Synoris administrator's approval, for 30 minutes at a time, with every access logged;
- keep appropriate technical and organisational security measures, including workspace isolation, encryption in transit, encrypted backups and access controls;
- use only the sub-processors listed in the Privacy Policy, under written terms that protect the data as these do, and tell owners before adding or replacing one so they can object;
- help you respond to requests from individuals exercising their rights, and with security and impact assessments where reasonable;
- tell you without undue delay after becoming aware of a personal data breach affecting your customer data;
- when your workspace closes, let you export your data and then delete it from the live system, with backups expiring within 120 days, unless the law requires us to keep it.
7. AI features
AI features are off until the workspace owner switches them on. When they are on:
- AI output, such as a call script, a message draft, a family summary or details read from a document, is a suggestion. You must check it before you save it, send it or rely on it, and you are responsible for what you do with it, as with anything else you tell your customers.
- If you use your own OpenAI or Anthropic key, you are responsible for your account with that provider, for keeping the key safe, for the provider's charges, and for following the provider's terms. Synoris passes your requests to the provider and does not control its terms or service.
- If you use PolicyPulse AI, your plan includes a number of AI requests each calendar month. Unused requests do not carry over to the next month.
- We may change the AI models we use, the features that use AI, and the PolicyPulse AI allowances.
The Privacy Policy explains what is sent to an AI provider and what is not.
8. Plans and fees
PolicyPulse may offer free and paid plans with different limits on team members and customers. The price, billing period and any taxes for a paid plan are shown to you before you pay, and you can change or cancel a plan as described in the app. Unless the law says otherwise, fees already paid are not refunded.
9. Availability and changes
We work to keep PolicyPulse available and secure, but it is provided “as is” and “as available”, without a guarantee that it will be uninterrupted or error-free. We may improve, change or remove features. If we make a change that significantly reduces what a paid plan includes, we will give notice.
10. Suspension and termination
You can stop using PolicyPulse at any time and ask us to close your workspace. We may suspend or close an account that breaks these terms, puts the service or other users at risk, or where the law requires, and will give notice where we reasonably can. Sections 5, 6, 11 and 12 continue after termination.
11. Disclaimers and liability
To the extent the law allows: we are not liable for indirect or consequential losses, lost profits, lost business or lost commission, or for decisions you make based on information in PolicyPulse; and our total liability arising from PolicyPulse in any 12-month period is limited to the fees you paid us in that period, or ₹10,000 if you use a free plan. Nothing in these terms limits liability that cannot be limited by law.
12. Governing law
These terms are governed by the laws of India. The courts in India with jurisdiction over Synoris's registered office have exclusive jurisdiction, but we will first try to resolve any dispute with you informally.
13. Changes to these terms
We may update these terms. The version and effective date at the top show the latest version. For significant changes we will tell workspace owners before they take effect; continuing to use PolicyPulse after that means you accept the updated terms.
